Overview
Elevate Consulting had a growing client base but their onboarding was entirely manual. New clients would sign a contract and then wait days before hearing anything. Intake forms were sent via email, kickoff calls were scheduled back and forth, and internal task assignment relied on Slack messages. We built a system that triggers the entire onboarding flow automatically � welcome emails, document collection, calendar booking, internal task creation, and progress tracking � all from a single contract signature.
Challenges
Every client had slightly different onboarding needs depending on the service package they purchased. Building conditional logic that adapts the workflow per package � while keeping it simple for the ops team to manage � required careful planning. We also had to integrate with DocuSign, Google Calendar, Notion, and Slack without creating duplicate notifications or missed steps.



Conclusion
Time-to-first-meeting dropped from 8 days to under 48 hours. Client satisfaction scores in the first 30 days improved by 42%. The ops team went from spending 6 hours per new client on manual onboarding to zero. Elevate onboarded 23 new clients in Q1 without adding a single ops hire.
