Overview
Apex Real Estate had GoHighLevel but barely used it. Leads were falling through the cracks, agents were manually updating deal stages, and there was no consistent follow-up process. They were losing an estimated 30% of warm leads simply due to slow response times and disorganised pipelines. We restructured their entire GHL setup: custom pipelines for each property type, automated lead routing by location and agent availability, instant SMS/email follow-ups on new enquiries, and AI-generated nurture sequences for long-cycle leads.
Challenges
Real estate leads have wildly different timelines — some close in 2 weeks, others take 18 months. Building automation that stays relevant across that spectrum without annoying prospects required careful segmentation logic and conditional workflow branching. We also had to migrate 3 years of messy legacy CRM data into GHL without losing deal history.



Conclusion
Lead response time dropped from an average of 4 hours to under 90 seconds. Pipeline visibility improved dramatically — the sales director could see every deal's status in real time. Within 90 days, Apex attributed 11 additional closed deals directly to leads that had previously been marked as lost in the old system.
